Company approval is always required for an appointment.

From request to approved visit

AI helps prepare it. You approve it.

    Homeowner

    The homeowner asks for service

A homeowner sends a question, photo or service request through your free website widget, email or the app. Calendar requests arrive for your company to review.

    Requested
  2. 02

    Company workspace

DeckHand AI helps find a time

See available times and technicians based on the schedule you’ve recorded. Past visits can help surface someone who knows the pool.

  3. 03

    Owner or staff

Review the time and AI reply

Choose a time and technician. DeckHand AI drafts the homeowner response for you to review and edit. Nothing is booked yet.

  4. 04

    Company confirmation

    Approve the visit

Your team approves the appointment. DeckHand checks availability again, then shows the confirmed visit and your response in the homeowner’s Calendar request.

  5. 05

    Technician and homeowner

Share the work when it’s done

Your technician records the work, readings, notes and photos. Publish the report for the homeowner to see.

    Completed

The response reviewed with an appointment is saved in the homeowner’s Calendar request. It does not itself send an email, SMS or conversation message.

Make room across your team

One technician busy? See who else is free.

Two available technicians can work at different pools at the same time. DeckHand checks each schedule, and past visits can help find a familiar technician.

Less time writing replies

Let AI get the next reply started.

DeckHand AI helps answer customer questions using your prices, policies and service details. Review the draft, make it yours and send it from your Inbox.

Answers based on your business

Add your prices, service area and policies so AI has the facts it needs. Missing details come back to your team.

An editable first draft

Start with the AI reply, change the wording or write your own. You decide what the customer reads.

Keep the answer with the request

Send customer replies from Inbox. For appointments, your approved response stays with the homeowner’s Calendar request.

How message automation works

Auto-reply settings control messages. Appointment requests still require company approval. Sending an Inbox reply does not book a visit.

You review replies by default. You can choose to send eligible routine replies automatically. Sensitive questions still need a person. AI replies use your plan’s response allowance and permitted customer context.

  1. Approve everything

Every draft waits in your inbox until you tap Approve. Nothing sends on its own.

    Sends: Nothing
    Waits: Every reply, every time

  2. Auto-send the easy ones

Scheduling answers, hours and acknowledgements go out on their own. Anything carrying a price, a photo diagnosis or a formal notice still waits for you.

    Sends: Scheduling, hours, confirmations
    Waits: Quotes, photo diagnoses, notices

  3. Send unless I stop it

Every reply sends after a delay you choose. Open the inbox before the timer runs out to edit or cancel it.

    Sends: Everything, after the delay
Waits: Anything you cancel in time

  4. Auto-send everything

Every reply goes out immediately, quotes included. You read them afterwards in the Sent log rather than before.

    Sends: Every reply, immediately
Waits: Nothing you have not flagged

Start with what you know

Start with your hours and your team.

Set your company hours, add your technicians and enter existing visits. Check service lengths and travel allowances. Add individual schedules and time off when you need them.

Schedule one visit or a finite weekly, 2-week or 4-week series. Suggestions use the schedule recorded in DeckHand; outside calendar sync, live traffic and automatic route generation are not connected yet.
